1. Who we are
All The Feathers is the trading name of Amy Vanheste, a sole trader based in the UK. We are the "data controller" for your information, which means we decide how it is used and are responsible for keeping it safe.
Contact: contact@allthefeathers.com · Lytchett House, 13Freeland Park, Wareham Road, Poole, Dorset, BH16 6FA
ICO registration number: 00012952166
2. What information we collect
-
Contact details: your name, email address and, if you give it, your phone number.
-
Booking details: the service you book, dates and times of sessions, and messages we exchange about your booking.
-
Payment details: the amount paid, date and method. Card payments are handled securely by our payment provider; we never see or store your full card details.
-
Session notes: for packages and programmes only, brief notes to help us support you from one session to the next. These may include personal or sensitive information you choose to share, such as health, wellbeing or spiritual beliefs. We only make these notes with your agreement.
-
Animal details: for animal communication, information about your animal (for example its name, photo and history).
-
Marketing preference: whether you have agreed to receive our news emails.
3. Why we use your information
3.1 To manage your booking: to arrange dates and times, send confirmations and reminders, take payment and provide your sessions. We need this to carry out our agreement with you (legal basis: contract).
3.2 To provide packages and programmes: we use session notes only to deliver your service. Because these notes may contain sensitive information, we only keep them with your explicit consent, which you can withdraw at any time (legal basis: explicit consent).
3.3 To send you news: we email you about new services, products, events and offers only if you have opted in. Every email has an unsubscribe link (legal basis: consent).
3.4 To meet legal duties: for example keeping financial records for HMRC (legal basis: legal obligation).
4. Marketing emails and opting out
You can opt out of marketing emails at any time by clicking "unsubscribe" in any email or by emailing us. If you opt out, we will only email you about your bookings. Opting out does not affect any booking you have with us.
5. Video call sessions
Sessions take place over Google Meet or similar video call software (such as Zoom). These services process call data, such as your name, email and connection details, to run the call. Sessions are not recorded unless we both agree in advance. Please join from a private space so your session stays confidential.
6. Who we share your information with
We never sell your information. We only share it with trusted services that help us run the business, and only as much as they need:
-
video call provider (for example Google Meet or Zoom);
-
email and calendar provider (for example Google Workspace);
-
booking system and website host (for example Wix);
-
payment providers and our bank (for example Stripe and NatWest);
-
email newsletter service, if you have opted in;
-
our accountant, and HMRC where the law requires.
We may also share information if the law requires it, or if we believe someone is at risk of serious harm.
7. International clients and transfers
We welcome clients from outside the UK. Your information is handled under UK data protection law (UK GDPR and the Data Protection Act 2018).
Some of the services we use may store data outside the UK, for example in the USA. Where this happens, we only use providers that protect your data with approved safeguards, such as the UK-US Data Bridge or standard contractual clauses.
8. How long we keep your information
-
Session notes: kept only while we are providing your service, and securely destroyed when our contract ends.
-
Contact details: kept until you ask us to remove them.
-
Booking and payment records: kept for 6 years, as required for tax purposes, then deleted.
-
Marketing preference: if you unsubscribe, we keep a record of your email address only so we do not email you news again.
9. How we keep it safe
Your information is stored on password-protected devices and accounts with two-step verification. Any paper notes are kept locked away and shredded when no longer needed.
10. Your rights
You have the right to:
-
see a copy of the information we hold about you;
-
ask us to correct anything that is wrong;
-
ask us to delete your information;
-
ask us to limit or stop using your information;
-
withdraw your consent at any time (for example to marketing or session notes);
-
ask for your information in a format you can take elsewhere.
To use any of these rights, email contact@allthefeathers.com. We will reply within one month. There is no charge.
11. Children
Our services are for adults aged 18 and over. We do not knowingly collect information about children.
12. Cookies
Our website uses only essential cookies needed for it to work.
13. Complaints
If you have a concern, please contact us first and we will do our best to put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113. If you live outside the UK, you can also contact your local data protection authority.
14. Changes to this policy
We may update this policy from time to time. The latest version will always be on our website, with the date it was last updated.
